How do I complete a Standard Dispute Manifest?

Once a dispute has been opened, you will typically be asked to fill out a spreadsheet known as a Standard Dispute Manifest. Follow the instructions below:

  • Make sure you have the correct software

You will need a copy of Excel or a free version of an Excel-like program, like Numbers, which can modify Excel files for future use if you’ll be purchasing other orders from B-Stock storefronts. Most sellers require a highlighted manifest from the buyers if they have dispute claims.

You may want to look into free alternative solutions if you do not wish to use Excel. As long as you are able to open an Excel spreadsheet, add information, and save again as either .XLS or .XLSX format, any software solution will work.

  • Complete the Qty Affected column

For each row in this column, please enter the number of units that have a problem that needs to be disputed.

The number listed in this column should never exceed the number listed in the Qty column on the same row.

  • Complete the Description of Problem column

For each row in this column where units are being disputed, please write a brief description of the problem.

If there are multiple problems, please specify the quantities. For example: “3 Missing, 2 Smashed.”

  • Complete the % of Loss in Value column

For each row in this column where units are being disputed, please enter the estimated percentage of loss for the disputed units.

In other words, if a unit is missing entirely or is damaged completely, 100% of the value is missing. If a unit still has 75% of its value because of a few missing parts or minor damage, then you should enter 25% in this column.

If different units on the same row have different percentages of loss, enter your best estimate of what the average percentage of loss is for the disputed units in that row.

  • Save and send the file in the correct format

The best file formats for a dispute manifest are .XLS or .XLSX.

.PDF, .JPG, .TXT, and many other file formats will not allow B-Stock or the seller to make needed calculations, and are usually not accepted.

Files saved and sent in .CSV format may lose some of their formatting. Specifically, .CSV format does not retain any highlighting when emailed.

  • Return the Dispute Manifest

Please send in your dispute manifest by replying to the email of the Mediator who requested it, with the updated file attached.

Note: This is the fastest way to get the document to the correct place. If you send a new email to [email protected], it will eventually be seen by the Mediator who requested it, but it may take much longer.
